Connecting QuickBooks Online

For many US e-commerce teams, QuickBooks Online is the operational ledger. EcomFlux keeps orders, customers, and line economics aligned with QBO so revenue posts with the same structure your bookkeeper expects — not a flattened CSV that hides discounts, shipping, or tax splits.

The setup

From the EcomFlux dashboard, open DashboardAccounting, then click Connect QuickBooks. That launches Intuit's authorization screen for the EcomFlux app connection.

Authorization

Sign in with your Intuit credentialsand approve access for the company file QBO should receive. This is the same OAuth-style trust model other certified integrations use: you control which QuickBooks company is linked, and you can disconnect from Intuit's app management if your stack changes.

Customer and item mapping

EcomFlux is deliberate about how data lands in QuickBooks:

  • Customers: EcomFlux can create or match customer profiles in QBO using the shipping address and identity signals from the order, so repeat buyers roll up under one contact instead of anonymous one-off entries.
  • Line items: Order lines (SKUs, quantities, discounts, shipping lines as configured) flow into Sales Receipts or Invoices in QBO, depending on your workspace settings and whether you treat the sale as cash-style vs open-AR — so the financial data matches the operational order, not a manual summary.

Hands-free operation

EcomFlux manages Intuit security tokens in the background — refreshing and rotating them as Intuit requires. That means you typically connect once per company; after that, fulfilled orders can continue to update your QuickBooks file silently, around the clock, without weekly re-authentication for normal operations. If Intuit forces a reconnect (password change, revoked consent, or policy update), the product will prompt you to authorize again.

Best practice:Reconcile a sample week of orders in QBO after go-live to confirm accounts, classes, and tax settings match your CPA's chart of accounts before you scale volume.
